Requesting and approving leave may seem like a small, simple task and ideally, it would be. In reality, there’s much more behind it. Leave balances for all leave types must be updated and made visible to both employees and managers. Before approving leave, managers want to see the rest of the team’s availability. Once leave is approved, HR needs to be notified and the change must be reflected for the entire department. HR then updates the balance and forwards this information to payroll or accounting, either periodically or in real time. An average employee has 25 vacation days and submits around six requests per year. This doesn’t include doctor appointments, special leave, or additional types of time‑off requests. Research has shown that an HR professional spends about three hours per employee per year on leave administration alone. If you still work with paper leave forms, you can add almost another hour per employee. The time spent by both the employee and the manager on this process is not even included in this calculation.
